Privacy Policy
Nalanda Consultancy
Nalanda Consultancy ("we", "us") helps students with career counselling, study abroad, online admissions and offline admissions. To do this we need some personal information about the student and, for students under 18, about a parent or guardian. This policy explains what we collect, why, how it is protected, and the rights you have under India's Digital Personal Data Protection Act, 2023 (DPDP Act) and the rules made under it.
1. Who is responsible for your information
Nalanda Consultancy (the "Data Fiduciary")
[Registered office address]
Grievance Officer: [Name of Grievance Officer] · E-mail: [Privacy contact e-mail] · Phone: [Contact phone number]
2. What information we collect
Our staff record the following when a student or parent asks for our services (in person, by phone or through our forms). We only ask for what is needed for the service requested.
| Identity | Name, date of birth or age, gender, passport-size photograph, parent / guardian names |
|---|---|
| Contact | Mobile and alternate numbers, e-mail address, residential address, city, state, PIN code |
| Education | Current / previous school, college or university, board, year of passing, marks, percentage or CGPA |
| Preferences | Courses, fields of study, countries, mode of education, services wanted, questions for the counsellor |
| Study abroad only | Estimated annual fee budget, previous applications, student-visa history and university offers |
| Documents | Copies of the highest education certificate, Aadhaar card and (for study abroad) PAN card, where the chosen service needs them |
We do not collect passwords, bank or card details through these forms.
3. Why we use it
- To give the counselling or admission help you asked for and to contact you about it.
- To prepare and submit applications to the schools, boards, colleges and universities you choose.
- To keep a record of the service given, answer your questions and handle complaints.
- To meet legal, tax or regulatory duties that apply to us.
We use your information only for these purposes, on the basis of the consent you give when the form is filled in (and, for students under 18, the consent of a parent or guardian). We do not sell personal information, do not use it for advertising, and do not track children's behaviour.
4. Who we share it with
- Institutions you choose – schools, boards, colleges and universities, only for the application you asked us to make.
- Visa, loan or test-preparation partners – only when you ask us for that service.
- Our service providers – such as website hosting and backup, who may only use the information to provide their service to us and must keep it secure.
- Authorities – when a law, court or government order requires it.
Some study-abroad applications need information to be sent to institutions outside India. We do this only for the application you asked for and only to countries not restricted by the Government of India.
5. How we protect it
Records are kept in a password-protected system that only our authorised staff can open. Uploaded documents are stored privately and are never available through a public web link. Connections use HTTPS encryption, staff accounts use strong passwords and limited sign-in attempts, and access is logged. Printed forms show mobile numbers and e-mail addresses partly hidden where this is enabled.
6. How long we keep it
We keep a record for as long as we are helping the student and for up to 3 years after our last contact, unless a law requires us to keep it longer. After that it is deleted.
7. Your rights
Under the DPDP Act you (or a parent / guardian for a student under 18) can:
- ask for a summary of the personal information we hold and how it is used;
- ask us to correct, complete or update it;
- ask us to erase it, unless we must keep it by law;
- withdraw consent at any time – this does not affect what was done before, but we may not be able to continue the service;
- nominate another person to use these rights if you die or become unable to; and
- raise a complaint with our Grievance Officer, and if you are not satisfied, with the Data Protection Board of India.
To use any of these rights, contact the Grievance Officer using the details in section 1. We will check your identity and reply within the time the law allows.
8. Cookies
This public website does not use advertising or tracking cookies. Our staff sign-in area uses only the session cookies needed for sign-in and security.
9. Changes to this policy
We may update this policy when our services or the law change. The date at the top shows the latest version.
